Custom Automations

Automations built around where your week gets stuck.

Most of what a business does every week is the same sequence, done again. We write the sequence down, turn it into fixed steps , and run it for you: a form that lands in the right inbox with the whole thread, a review that reaches the manager the same day, a report that issues on the sixth, a post that goes out because the weather turned.

It is scoped to your operation, quoted for the pieces you take, and run by the same team that runs the rest of your digital side.

What already runs

Built, running for clients today, and yours to take one piece at a time.

  • Weather-aware posts: morning and afternoon cards that react to real conditions at your address.
  • Website to feed: a new article, a changed page or a new service becomes a post without anyone copying it across.
  • Articles published to your own site on a calendar, aimed at the questions customers actually type in.

Moving information between your systems

Most businesses keep the same facts in more than one place, so a price change or a new policy has to be typed in again everywhere it appears. An automation carries that information for you, so a change made once reaches your website, your posts and the assistant that answers your customers. That is covered in our Business plan.

Reaching further, into the systems you bought elsewhere such as point of sale, booking, accounting and fulfillment, takes more work to build and is typically scoped in our Executive plan .

Rules every automation runs under

  • Fixed steps first. A model is called only for the narrow part that needs judgment, like writing a sentence in your voice.
  • Anything about a person waits for a person. Review replies, escalations and anything sensitive are drafted or handed over, never auto-sent.
  • If a check cannot run, nothing goes out.
  • You own the outputs: the posts on your pages, the articles on your site, the records in your accounts.
  • It is deleted on a timer once the job is done.
  • It has a log, and you can read it.

What we do not build

Custom applications from scratch, anything requiring us to take custody of card data, and anything needing a compliance regime we have not scoped with you. If that is what you need, we say so in the first conversation. The rest of what is and is not included is on managed services.

Questions owners ask us

We use a booking system and a point of sale. Can it talk to them?

Usually, and it is Executive-tier work because the moving parts multiply. We start from what each system can already export or notify and write the steps against that. Where a system cannot be reached safely, we say so rather than bolt on something fragile.

What does an automation cost?

It is quoted for the piece you take and priced for your market, and most sit inside a plan rather than on top of it. Business plans include the automations that move information between the systems you already use; Executive extends them into systems we do not own. The quote is at start.virtucom.net.

Who owns it if we leave?

The outputs are yours: posts on your pages, articles on your site, records in your accounts, and the written steps handed over with everything else. The engines that run them are ours.

How do we know it worked?

Every automation keeps a log of what ran, when, and what it produced, and anything that failed a check is in there too. Reports issue on a schedule you can see. Each run writes to a log you can read, so you can see what happened and when.

Tell us where the week gets stuck.

Name the step that is done by hand, late or twice, and we will tell you whether it is worth automating and what it would take.
